Hybrid meetings: How we’re shaking together virtual and physical meetings
In MSD Denmark, as in all other workplaces, we have meetings. Many meetings. That is why we are constantly working to improve the way we conduct meetings. We have been doing this for a couple of years now, and as a result we have introduced three coherent meeting concepts: The Meeting Burger, the Meeting Menu and the Hybrid Milkshake.

The Hybrid Milkshake, we launched in the wake of the COVID pandemic and the launch of our hybrid working model, which meant – and still means – that some colleagues work from home and some from the office. This created a new dynamic – and new challenges – in our now hybrid meetings. For how do you ensure that online as well as physical meeting participants get the best out of the meeting and participate on equal terms?
By talking to our colleagues and gathering their experiences, we created another meeting concept especially for hybrid meetings. And once again, the result has been given a gastronomic touch, to make it easier to digest.
Meet: The Hybrid Milkshake.
The Hybrid Milkshake consists of two elements:
-The cup, which is the foundation of the content and which represents the technical set-up
-The substance which represents the content of the hybrid meeting
“Is your camera on?”
The technique part is basically about having a decent sound quality so that everyone can hear clearly and distinctly, and also about making sure everyone can be seen on video, whether they’re sitting in a meeting room in the office or at home. Based on our experience, everyone is far more engaged if we can all see each other. In the office, we have technology available to video broadcast all meeting participants in the room. But if that technology is not available, we follow the rule of 1 person = 1 device. This means that everyone has their laptop in front of them with the camera turned on.
In addition, it is about using some of the many digital collaboration tools that we have available for example for project management, brainstorming, voting, etc. and to involve and activate the meeting participants to use them during the meeting. To support our colleagues in this, we have had several informal trainings on how to use the various tools.
Inclusion is key in the hybrid meeting
In our previous meeting concepts, that you can see here, we already defined the fundamentals of the good meetings – and these principles are still applicable in our hybrid meetings. But in addition, we identified a few more challenges specifically for hybrid meetings.
The primary challenge is to get the online and offline participants to be engaged at the same level so that everyone feels seen and heard and are able to contribute to the meeting in the best way. Our experience is that it can be harder to speak up and feel included if you sit online as you for example cannot participate in the small talk around the table. Still, those in the meeting room should benefit from the special dynamics that, after all, arise from the physical attendance.
This is what the substance part of the Hybrid Shake tries to take into account by i.a.
- Encouraging an online meeting participant – together with a physical or alone – to be the meeting host
- Having a person in the meeting room responsible for calling out hand raising, especially from the online participants, as it can be difficult for the meeting host to notice if he or she shares a presentation during the meeting for example
- Spending a few minutes on an activity where everyone can participate, and where you get all the meeting participants activated from the start of the meeting. To support this, we have developed an energizer catalog with activities especially for the hybrid meetings. As an example; do a round the table where everyone shows the last photo they took with their phone and share the story behind it. Or what about a body poll or quiz where people give their answers with the body (yes = stand up / no = sit down)?
Imlementation through continous communication
In addition to introducing the new Hybrid Milkshake meeting concept, we’ve kept working with the implementation of the ‘old’ meeting principles. It is of course not enough to just launch the principles and then think they will be incorporated from one day to the next. It requires continuous focus and lots of communication to anchor new initiatives so that people 1) remember them and 2) change habits.
In addition to continuously communicating on all internal channels about the meeting concepts, we also use internal ambassadors to further anchor the principles on team and department level. Based on a train-the-trainers principle, the ambassadors are leading by example by implementing the principles themselves and in articulating the meeting culture and the principles at team meetings, etc.
In addition, we have held events for some of the most important principles, including our Take-Away and our Burger Light. Take-Away encourages our colleagues to change the setting of the meetings once in a while, for example by taking an informal Walk & Talk meeting instead of using a meeting room. Burger Light is about having 25 and 50 minute meetings instead of 30 and 60 minutes to create some space in between meetings.
We have come a long way in making our meetings more efficient and engaging. But the work with the meeting culture is never quite finished. Therefore, we at MSD Denmark naturally continue to anchor and develop our appetizing meeting principles

Hybridmøder: Sådan shaker vi virtuelle og fysiske møder sammen
I MSD Danmark har vi, som på alle andre arbejdspladser, møder. Rigtig mange møder. Derfor arbejder vi hele tiden på at forbedre, hvordan vi afholder møder. Det har vi gjort i et par år nu, og som en del af det arbejde har vi introduceret tre sammenhængende mødekoncepter: Mødeburgeren, Mødemenuen og Hybrid Milkshaken.

Hybrid Milkshaken lancerede vi i kølvandet på COVID-pandemien og vores hybride arbejdsmodel, som betød og stadig betyder, at nogle kolleger arbejder hjemmefra og nogle fra kontoret. Det skabte en ny dynamik – og nye udfordringer – i vores møder. For hvordan sørger man for, at online såvel som fysiske deltagere får det bedste ud af mødet og deltager på lige præmisser?
Ved at tale med vores kollegaer og samle erfaringerne har vi lavet endnu et mødeprincip særligt til hybridmøder. Og endnu en gang har resultatet fået et gastronomisk touch, for at gøre det lettere at sluge. Mød: The Hybrid Milkshake
Hybrid Milkshaken består af to elementer:
-Bægeret, som er fundamentet for indholdet, og som repræsenterer det tekniske set-up
-Substansen som repræsenterer selve hybridmødets gang
”Er dit kamera tændt?”
Teknik-delen handler grundlæggende om, at man sørger for, at der er god lyd, så alle kan høre klart og tydeligt, samt at alle kan ses på video, hvad enten man sidder i et mødelokale på kontoret eller derhjemme. Det er vores erfaring, at alle er langt mere engagerede, hvis vi alle kan se hinanden. På kontoret har vi teknik til rådighed, der broadcaster alle mødedeltagere i et lokale. Men hvis man ikke har teknikken til rådighed, følger vi tommerfingerreglen ’1 person = 1 device’. Det vil sige, at alle har hver deres bærbare foran sig med kameraet tændt.
Derudover handler det om at bruge nogle af de mange digitale samarbejdsværktøjer, som vi har tilgængelige for eksempel til projektstyring, brainstorming, votering osv. og at involvere og aktivere mødedeltagerne til at bruge dem under mødet. Til at støtte vores kollegaer i det har vi haft flere uformelle træninger i at bruge de forskellige værktøjer.
Inklusion er nøgleordet i hybridmødet
I vores tidligere mødekoncepter, som du kan se her, definerede vi allerede rammerne for det gode møde – og disse principper er stadig fundamentet for også hybridmøderne. Men derudover identificerede vi yderligere et par udfordringer omkring netop hybridmøderne. Den primære er at få online og offline deltagerne til at være engagerede på samme niveau, så alle føler sig set og hørt til at bidrage til mødet på bedste vis. Risikoen er nemlig, at det kan være sværere at komme til orde og føle sig inkluderet, hvis man sidder online og for eksempel ikke kan deltage i smalltalken omkring bordet. Omvendt skal dem i mødelokalet nyde godt af den særlige dynamik, der trods alt opstår ved det fysiske fremmøde.
Det er det Hybrid Shakens substans-del prøver at tage højde for ved blandt andet:
- At opfordre til at en online mødedeltager – sammen med en fysisk eller alene – agerer mødeleder
- At man har en person i mødelokalet, der holder øje med håndsoprækkelse særligt fra online deltagerne, da det kan være svært for mødeleder, hvis vedkommende for eksempel deler en præsentation under mødet
- At man bruger et par minutter på at lave en aktivitet hvor alle kan være med, og hvor man får aktiveret alle mødedeltagerne fra mødets start. I den forbindelse har vi udviklet et energizer katalog med aktiviteter særligt til hybridmøderne. Tag for eksempel en runde hvor alle viser det sidste billede de har taget med deres telefon og historien bag det. Eller hvad med en body poll eller quiz, hvor folk afgiver deres svar med kroppen (f.eks. ja = stå op/ nej = sid ned)?
Implementering gennem kontinuerlig kommunikation
Udover at introducere det nye Hybrid Milkshake mødekoncept har vi samtidig arbejdet med at udbrede de ’gamle’ mødeprincipper. For det er selvfølgelig ikke nok bare at lancere principperne og så tro de bliver inkorporeret fra den ene dag til den anden. Det kræver kontinuerligt fokus og masser af kommunikation at forankre nye tiltag, så folk husker dem og ændrer vaner.
Udover kontinuerligt at kommunikere på alle interne kanaler om mødekoncepterne bruger vi også interne ambassadører til yderligere at forankre principperne helt ned på -team og afdelingsniveau. Gennem et train-the-trainers princip er ambassadørerne gået forrest i at implementere koncepterne og i at italesætte mødekulturen og de enkelte principper på afdelingsmøder mv.
Derudover har vi afholdt events for nogle af de vigtigste principper, blandt andet vores Take-Away og vores Burger Light. Take-Away opfordrer vores kollegaer til at udskifte rammerne for møderne engang imellem, for eksempel ved at tage et uformelt Walk & Talk møde i stedet for at bruge et mødelokale. Mens Burger Light handler om at have 25 og 50 minutters møder i stedet for 30 og 60 minutters for at skabe luft mellem møderne.
Vi er kommet rigtig langt i indsatsen med at gøre vores møder mere effektive og engagerende. Men som det måske fornemmes er arbejdet omkring mødekulturen aldrig helt færdigt. Derfor fortsætter vi i MSD Danmark naturligvis med at forankre og udvikle vores appetitlige mødeprincipper.
